Frequently asked questions and information on hiring

How does hiring work?
Hiring is a simple and cost effective exercise. After selecting the items you require from our product range, make a note of them and give us a call. Our hire team will be able to answer any questions you might have, together with offering help and advice. You can call us on 0845 058 0660, fax on 01829 261865 or email sales@eventequipmentltd.co.uk

How much does hiring cost?
We offer a simple pricing structure that is based on the length of time you need the equipment for. The standard is a 3 day rate (72 hours) this gives you ample time to set-up and break down after a one day event. For hires between 4 and 7 days our weekly rate will apply. Any additional days will be charged pro rata on the original rate. Long term, seasonal and special event rates are by quotation.

What about weekends? Will I be charged the week rate?
No; Weekends (including bank holiday weekends) are still charged at the 3 day rate. You, will receive your equipment on a Friday and it will be collected the following Monday.

Do you charge for delivery and collection?
Yes we do, however we always try to keep our delivery and collection charges to a minimum.

When should I make my reservation?
Please book as early as possible, especially for the busy summer and Christmas periods.

What if I don’t know the final number of guests for my event?
We advise that you book enough equipment to cater for your maximum number of guests. This is especially advisable during our busy summer and Christmas periods when it can become difficult to increase orders.

What about changes to my order?
We can make amendments to your order up to 24 hours prior to delivery. Any additions are subject to stock availability

How and when do I pay?
For clients who do not have an authorised credit account, we will ask for a deposit at the time of booking to secure the hire. Full payment is required prior to the delivery of the hire goods.
What type of service can I expect when the delivery arrives?
Our standard delivery/collection charges are to an easily accessible ground floor entrance. Our trained personnel will neatly stack all ordered items in a mutually convenient place, check through the order with you and then ask you to sign a delivery note. Please feel free to highlight any discrepancies at this point, so we can deal with them quickly and efficiently.

What happens if there is a problem with my equipment?
We advise our clients to check all their equipment on the day of delivery. Any problems should be highlighted the same day to our hire team, so that it will enable them to rectify the problem before the event starts (additional charges may be applied).

What is my responsibility for equipment return?
All tables should be free from food debris, cutlery, glassware and linen. Chair covers must be removed from all chairs. Equipment should be made ready for collection in the same place that it was delivered, unless other arrangements have been made.

Do I have to sign any more paperwork?
Yes, before we leave with the equipment, we will ask you to sign a collection note, this means that you agree that we have collected the goods. It does not mean that everything has been returned.

What happens if I break, damage or lose equipment?
After collection, your equipment will be returned to our warehouse where it will be sorted and counted by our trained team. You will be informed within 48 hours by email, phone or fax of any items that are found missing, broken or damaged (including weather damaged) before charges are applied. Be sure equipment is secured when not in use and protected from the weather.

Who is responsible for the equipment whilst on hire?
As the hirer you are responsible for all the equipment hired from Event Equipment from the time of delivery through to the collection. We advise all our clients that they should arrange adequate insurance to cover the cost of the equipment whilst in your care. We would recommend you estimate the value at 20 times the total hire cost.
